PLEASE NOTE:
Each category of presentation and the associated submission (abstract, clinical poster or clinical video) has specific and unique requirements - so please read the instructions carefully before submission. For example, abstracts for posters that cover Clinical Research (trials, outcome studies) should be submitted to the Original Scientific poster section NOT the Clinical poster section, which is about clinical case reports and clinical techniques. If you enter your abstract into the wrong category of presentation it will automatically be entered into the General Endodontic poster section. Only those abstracts submitted in the Original Scientific poster section will be published in the International Endodontic Journal.

Submission Instructions

Submissions are accepted / rejected based on:

  • submission to the correct category;
  • adherence to the guidelines for submission to the category;
  • quality of the submission.

You MUST read this information and view the samples and frequently asked questions before submission.

 

Submission Process Rules

  • Submissions will be accepted from 1st January 2019 up to midnight (GMT) on 1st March 2019.
  • All submissions must in the English language.
  • Submitters are responsible for the accuracy of all data submitted including correct spelling of names and institutions.
  • It is expected that the submitter will include appropriate credit to all contributing authors and their associated institutions.
  • Check to ensure that all authors are listed before submitting an abstract, clinical poster or clinical video. All co-authors must agree that the abstract, poster or video can be submitted for presentation.
  • Original Scientific Abstracts should not be submitted if the contents have already been or will have been published or presented at another meeting.
  • Authors may co-author multiple submissions but only present ONE in each category.

General Information

Changes cannot be made once the abstract, clinical poster or clinical video has been submitted; revisions can only occur when the abstract or clinical poster has been accepted and during the final editing phase.

Decisions on acceptance or rejection of submissions will be available in the online submission site after the 1st May. Submitters should log in and view the decision on their submission after 1st May. Presentation details, e.g. room, day, time and moderator will also be available here once these have been decided.

Authors are invited to present their work only when the submission has been accepted. Abstracts not accepted for the Original Scientific posters, Clinical posters or Oral presentations on freely chosen subjects may be accepted in the General Endodontic poster section. Authors will have an opportunity to select whether they wish their submission to be withdrawn or considered for this section. Please note General Endodontic posters will NOT be moderated.

Timetables

All presenters MUST attend the entire session they are allocated to. It is NOT possible to change the day and time of presentation – so, if you submit an abstract, poster or video you must be available for the entire congress.

  • ESE Wladimir Adlivankine Research Prize: Thursday 12th September 2019 from 09:00 to 9:45
  • Original Scientific Research Prize: Thursday 12th September 2019 from 9:45 to 11.45
  • Education Prize: Thursday 12th September 2019 from 11:45 to 12:30
  • Clinical Poster Prize: Thursday 12th September 2019 from 14:30 to 16:00
  • Clinical Video Prize: Thursday 12th September 2019 from 16:30 to 18:00

Timetables for each presentation will be provided in advance of the congress for - Original Scientific Posters, Clinical posters, Clinical videos and Oral Presentations on freely chosen subjects.

 

1. Original Scientific Research

ESE Wladimir Adlivankine Research Prize

Those applicants who are accepted will be expected to deliver a 15 minute oral presentation in English on Thursday 12th September 2019 sometime during the period 09:00 to 09:45. The presenter will receive free registration to the congress. Please ensure you meet the regulations before you apply. The prize of 2,500 € will be awarded by the Research Committee of the ESE on the recommendation of a panel of assessors appointed by the Committee. The assessors will take into account the originality of the research; its relevance to Endodontology; the methodology, results and discussion; the standard of the abstract; and the clarity and quality of the presentation. Abstracts of those presented will be published in the International Endodontic Journal. This prize, named in honour of Wladimir Adlivankine, a Past Secretary and Treasurer of the ESE, will be presented during the Congress

ESE Education Prize

Those applicants who are accepted will be expected to deliver a 15 minute oral presentation in English on Thursday 12th September 2019 sometime during the period 11:45 to 12:30. The presenter will receive free registration to the congress. Please ensure you meet the regulations before you apply. The prize of 2,500 € will be awarded by the Education & Scholarship Committee of the ESE on the recommendation of a panel of assessors appointed by the Committee. The assessors will take into account the originality of the work; its relevance to education and scholarship in Endodontology; the methodology, results and discussion; the standard of the abstract; and the clarity and quality of the presentation. Abstracts of those presented will be published in the International Endodontic Journal. This prize will be presented during the Congress.

Original Scientific Research Posters

The ESE Research Committee is responsible for evaluating and selecting abstracts for the Original Scientific poster presentations. Only those accepted will be invited to present an Original Scientific Research poster at the Congress.

PLEASE NOTE: THE ORIGINAL SCIENTIFIC ABSTRACTS WILL BE EVALUATED ONLY ONCE.

Following their initial submission, there will be no opportunity to modify these abstracts and resubmit them for further consideration. If the abstract does not comply with the guidance, is poorly written or information is missing it will be rejected and moved to the General Endodontic Poster Section if the presenting author agrees.

Abstract Format: Abstracts must NOT contain figures, tables, photos or illustrations. Abstracts must be approximately 300 words long and include the following sections:

  • Aim – e.g. To evaluate, to analyse …..
  • Methodology – a concise description of the experimental design, and materials and methods
  • Results - results and statistical analysis
  • Conclusions – in brief and related to the results without speculation
  • Acknowledgements and/ or Funding source – if applicable

Poster Presentation: All original scientific research posters will be moderated (three (3) minutes are allocated for the presentation with 5 minutes for questions) and only those presented by the nominated author (as indicated in the abstract) will be published in the International Endodontic Journal. The nominated author must be in attendance for the session they are allocated to. Posters MUST be portrait style. Size max 84 cm wide by 118 cm high (print size A0).

Original Scientific Research Prize:A limited number of high quality submissions will be selected by the ESE Research Committee, based on criteria developed by the Committee, to be presented orally as well as by poster. Following the reviewing process, the authors will be asked if they want to present their work as an oral presentation. The oral presentations will be limited to 10 minutes plus 5 minutes discussion. The best presentation will be awarded a prize of 250 €. Prize presentations will take place on Thursday 12th September sometime during the period from 9:45 to 11:45.

Rejection. Those abstracts rejected from the Original Scientific Research poster category will be included in the General Endodontic poster section if the presenting author agrees. The Abstracts may be rejected for the following reasons The Abstracts may be rejected for the following reasons

  • The abstract is incomplete or poorly organized;
  • Information is missing (objective, methods, results – data and statistical analysis, conclusions);
  • The subject is not significant;
  • The abstract is not original or was already presented, or published;
  • Well-defined criteria are not given for evaluation of variables;
  • Poor choice of controls or no controls reported;
  • The method of obtaining data is not appropriate to the stated problem;
  • The conclusions are not supported by the results

Abstracts accepted and presented as posters in the Original Scientific section are published in the International Endodontics Journal and become part of the scientific literature. The committee reserves the right to move the abstract to another Topic other than the one selected by the author. The presenter may withdraw the abstract at any time by emailing the ESE Administrator.

 

 

2. Clinical Posters

Clinical posters that are submitted will be critically appraised by the ESE Clinical Practice Committee. This section is for case reports or clinical techniques – and not clinical research.

Research projects including clinical trials should NOT be submitted in this category but should be submitted to the Original Scientific Research category. If your submission does not follow the correct format it will be allocated to the General Endodontic section.

Poster format:Clinical posters should be prepared in PowerPoint and the final version saved in PDF format for uploading to the submission site. Only PDF files can be uploaded. All relevant images MUST be included in the PDF to illustrate the case report/technique in full. The Clinical posters will be displayed as electronic posters and do not need to be printed. The PDF posters need to be prepared ready for viewing at the e-poster stations throughout the Meeting. Electronic posters (so called e-posters) are similar to traditional printed posters but are displayed on-site on a large LCD television screen. E-posters must be prepared according to the instructions and using our .ppt template - CLICK HERE. The template background, text colours and font size may be customized but the slide size etc. MUST NOT be altered.

The following sections must be included in the PDF poster:

  • Title
  • Authors (Please note a blind review process is not being used for Clinical submissions)
  • Institutions
  • Aim(s) of the case or technique included in the poster
  • Case Presentation (for case report or case series) / Methodology (for clinical description of a technique/material)
  • Discussion
  • Conclusion & Clinical Relevance
  • References (max 5)

Poster Presentation: All accepted original clinical posters will be moderated with 5 minutes allocated for presentation followed by time for questions. The nominated author must be in attendance for the entire session they are allocated to. Please note: These posters will be presented using electronic poster boards and do not need to be printed.

Clinical Poster Prize:The ESE Clinical Practice Committee will select the best posters and the author asked to present their poster in a lecture theatre. The poster will be projected onto a large screen and the presentation should be approximately 10 minutes long with 5 minutes for questions. This session will be on Thursday 12th September 2019 from 14:30 to 16:00.

Attendees will be asked to vote on the best presentation and a prize of 250 € awarded to the winner at the end of the session.

Those posters not accepted for presentation in the Clinical poster category will be sent to the General Endodontic section if thisoption is selected by the author on submission. Posters in the General Endodontic section will be presented on traditional poster boards and will need to be printed.

 

3. Clinical Videos

Submissions in this category will be critically appraised by the ESE Clinical Practice Committee and only those accepted will be invited to present.

Video format: The video should be a maximum of 3 minutes long and submitted in MP4 format (maximum file size 100MB). Videos should describe a clinical case, technique or procedure, having a clinical relevance but NOT clinical trials or research studies. Videos can contain text and images (still and moving). A picture of the presenter must be included at the beginning and end of the video so the audience can visualize who they are. Audio in English MUST be included to explain the clinical case, technique or procedure.

Video Presentation: All accepted videos will be shown in a lecture hall. The presenter will be informed when the showing will take place and it is recommended that the presenter attends the session in case there are questions from attendees, however, attendance is not essential.

Video Prize Presentation: All accepted videos will be shown in a lecture hall. The presenter will be informed when the showing will take place and it is essential that the presenter attends the session. Following the showing of each video questions from the audience to the presenter will be allowed. This session will take place on Thursday 12th September from 16:30 to 18:00. Attendees will be asked to vote on the best presentation and a prize of 250 € awarded to the winner at the end of the session.

 

4. Oral presentations on freely chosen subjects

Abstracts submitted in this category will be critically appraised by the Local Organising Committee. Only those accepted will be invited to present at the Congress. Submissions can be on any topic within Endodontics and the related clinical and biological sciences, including systemic health, wellbeing and education.

Abstract Format: Abstracts must NOT contain figures, tables, photos or illustrations. Abstracts must be approximately 300 words long and include the following sections:

  • Aim of the presentation
  • Summary of the talk
  • Key Learning Points (bulleted)

Presentation: Presentations are expected to be projected in PowerPoint. The presentation should be a maximum of 15 minutes long with an additional 2-3 minutes allocated for questions from the audience, that is 18 minutes in total.

Rejection. Those abstracts rejected from this category will be included in the General Endodontic poster section if the presenting author agrees.

 

 

5. General Endodontic Posters

Posters MUST be printed in portrait style. Size max 84 cm wide by 118 cm high (print size A0).

Poster Presentation: The nominated author must be in attendance for the session they are allocated to. Presentation details (day and time) will be available in the Abstract centre once these have been decided. The poster sessions will not be moderated and neither will the abstracts be published in the International Endodontic Journal.
